2x2 Prioritization Matrix Template

2x2 Prioritization Matrix Template

The 2x2 Prioritization Matrix helps teams decide where to focus their efforts. It's often used by Agile teams to define what to do next in their product backlog. However, it's a suitable tool for any team that needs to evaluate and decide on focus areas against the two key dimensions of Impact vs. Effort.

The 2x2 Prioritization Matrix method and template provide a quick and straightforward way for a team to identify which activities or projects to work on and which to defer.

The template has four quadrants:

Quick Wins (High Impact, Low Effort)

The quick wins quadrant is the most attractive focus area because activities placed here to give you a good return for relatively little effort. Focus on these as much as you can.

Major Projects (High Impact, High Effort)

Major projects give good returns, but they are time-consuming. An organization can typically only absorb a small number of these major projects due to resource or budget restraints.

Fill Ins (Low Impact, Low Effort)

These are the third lowest in value. Don't focus on these activities – only do them once all quick wins are done.

Thankless Tasks (Low Impact, High Effort)

These are the lowest value activities: seek to avoid! These use up valuable time and resources that could be spent better elsewhere.

To complete the 2x2 Prioritization Matrix template follow these three steps:

  1. Score activities/projects on their impact (0 for no impact to 10 for maximum impact)

  2. Score activities/projects on the effort needed to complete them (0 for no real effort to 10 for a major effort)

  3. Plot each activity/project in one of the four quadrants on the matrix based on their scores in steps 1 and 2.
